Common questions from healthcare practices

Answers to the questions we hear most about IT support, pricing, contracts, response times, and working with Aldwell.

Getting started

Healthcare technology decisions affect operations, privacy, security, compliance, and patient care. A team that understands those connections can identify gaps and make recommendations that fit the realities of running a medical practice.

We support everything from everyday technology issues to complex infrastructure and cloud environments. That includes computers, accounts, email, Microsoft 365, networks and wireless, cybersecurity, VMware, Microsoft Azure, AWS, Windows Server, Linux, vendor coordination, technology planning, and larger IT projects.

On-demand support lets you contact us as needs arise and pay for the time you use. Managed IT provides ongoing support, oversight, security, planning, and accountability for a predictable monthly cost. We can help you decide which approach fits your practice.

We work with independent practices ranging from solo providers to organizations with up to approximately 50 providers. Support can scale from occasional help to a fully managed IT relationship.

Pricing & agreements

Everyday IT support is $75 per hour. Advanced systems, phone systems, consulting, projects, integrations, and virtual CIO/CISO services are billed at published hourly rates from $150 to $250, and we confirm the expected cost before work begins so you know what to expect. There is no after-hours surcharge.

We do use clear written agreements, but they do not lock you into a long-term commitment. Every client signs a Business Associate Agreement and Statement of Work that outlines responsibilities, services, and pricing.

Whether you use pay-as-you-go support or managed services, there is no required commitment to a fixed term.

Yes. You can bring us in for a single project, an isolated problem, or a specific technology decision. We define the scope and pricing before work begins, with no obligation to continue afterward.

Yes. We put a Business Associate Agreement in place with every client because healthcare information and responsibilities should be handled clearly from the beginning.

Working with us

Not at all. Single-provider practices are exactly who on-demand support was built for: senior help when you need it, at a rate you can plan around, with no monthly commitment.

Yes — that's co-managed IT. We back up your existing IT with senior depth, security coverage, and healthcare compliance experience, without replacing anyone.

Yes. We plan the transition carefully, collect the necessary documentation and access, identify immediate risks, and work to avoid unnecessary disruption. We can take over the entire environment or only selected responsibilities.

Yes. Most issues can be handled remotely, which is usually faster and more efficient. When onsite work is needed, we schedule it clearly and confirm any related costs in advance.

Yes. Our team has extensive experience supporting healthcare organizations that use Epic, Allscripts, and other EHR platforms, including coordinating access, connectivity, workstations, integrations, infrastructure, and technical issues that involve multiple teams.

We also work directly with other EHR companies, internet providers, phone vendors, software companies, and technology partners. We help clarify who owns each part of the issue, provide the technical information vendors need, and keep problems from stalling between providers.

Technical & security

Yes. We support Microsoft 365 administration, email, user accounts, licensing, security settings, and day-to-day troubleshooting. We can also help organize environments that have grown without consistent oversight.

We help practices address the technology side of HIPAA, including access controls, security safeguards, documentation, risk reduction, and remediation. Overall compliance also involves operational and legal responsibilities, so we are careful not to present IT alone as the complete solution.

Yes. Cybersecurity improvements can be handled as a focused project or added to an existing support relationship. We can assess current risks, prioritize practical improvements, and work alongside your internal team or current providers.

No. We start by identifying what is working, what presents a risk, and what truly needs attention. Recommendations are prioritized so you can improve over time instead of replacing technology simply for the sake of change.
